Hotel Booking Nairobi ("HB Nairobi", "we", "us", "our") is a hotel management software service operated by SomICT, based in Nairobi, Kenya. We operate the platforms at hbnairobi.com, app.hbnairobi.com, and booking.hbnairobi.com.

2. Information We Collect

Hotel Administrators (app.hbnairobi.com)

  • Name, email address, and password (hashed)
  • Hotel name, address, and business details
  • Billing and subscription information
  • Hotel guest records entered into the system (names, ID numbers, stay dates)
  • Financial records, reports, and service logs

Booking Portal Visitors (booking.hbnairobi.com)

  • Name, email, and phone number provided during a booking
  • Check-in/check-out dates and room preferences
  • Selected services (airport transfers, meals, etc.)
  • IP address and browser information (collected automatically)

3. How We Use Your Information

  • To provide and operate the hotel management and booking platform
  • To send booking confirmations and service notifications via email
  • To process subscription payments and issue invoices
  • To respond to support messages and enquiries
  • To improve our platform based on usage patterns
  • To comply with applicable laws and regulations

We do not sell your personal data to third parties. We do not use your data for advertising purposes.

4. Data Storage and Security

Your data is stored on secured cloud servers. We use industry-standard encryption (TLS/HTTPS) for all data in transit. Passwords are hashed using bcrypt and are never stored in plain text.

Access to production data is restricted to authorised personnel only. We conduct regular security reviews and apply security patches promptly.

5. Data Retention

Hotel admin accounts and their associated data are retained for the duration of the active subscription plus 90 days after cancellation, unless a deletion request is made.

Guest booking records entered by hotel staff are the responsibility of the hotel operator. HB Nairobi acts as a data processor in relation to those records.
